Terms and conditions

 

By making a booking with Hay Glamping you are agreeing to the following terms and conditions:

Bookings and Payments

  • A 25%, non-refundable deposit is payable upon reservation.

  • The remaining balance will be due 6 weeks before arrival.

Cancellations (under ‘normal’ circumstances)

If the cancellation is made:

  • more than 45 days before arrival an amount equal to the 25% of the total booking amount will be retained.

  • within 45 days of arrival, an amount equal to 100% of the booking total will be retained.

  • Any damage deposits paid will be returned in full.

Please note we cannot be held responsible for refunds or expenses you incur in the event that you are unable to commit to your holiday.

Please also note that we cannot be held responsible for refunds or expenses that you incur in the event that we are prevented from fulfilling your booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events ("Force Majeure").

Travel insurance is available for and is recommended for holidays within the UK. We recommend that you have adequate holiday insurance in place to cover all eventualities.

Arrival and departure times

CHECK IN – Strictly after 4pm.

CHECK OUT – Please vacate the site by 10am.

Responsible tenanting

By booking with Hay Glamping you are agreeing to leave all furniture, furnishings and facilities in the same state you found them, and to leave the site clean and tidy when you depart.

Should any facilities, equipment, or inventory, be damaged by someone in your party, you will be held responsible for the cost of repair or replacement.

Fire safety

  • Strictly no smoking within any tents or marquees.

  • No naked flames to be used within the tents.

  • No cooking equipment or heaters to be used inside the tents.

  • BBQs must be raised off the ground and located at least 3m from the tents.

  • Do not place used BBQs inside your tent at any time due to risk of carbon monoxide poisoning.

Children

Your children are your responsibility at all times. We would ask you to take particular care of them around the river and any fires/naked flames. We insist that your children be respectful of the facilities and other guests at all times.

The surrounding area

Hay Glamping is situated on a working farm, we ask you to respect the crops in nearby fields and stay clear of any machinery. There are also horses, sheep and cows nearby, which we ask you not to feed or cause any distress.

Please obey any no entry signs on and near the site, these are here for your safety.

You are responsible for your own and your party’s personal safety when on site and in the surrounding area.

There is strictly no river access from the site. A wonderful pebble beach can be found at the Warren, just 10mins walk away, please ask at the bar for directions.

Noise

To respect that some guests may be trying sleep, we operate a no noise policy in the tent area from 10pm. The Marquee bar and firepit areas will remain open beyond that for those wishing to enjoy a relaxing drink at the end of the day.

Gross misconduct

If you cause an extreme disturbance to other guests or cause excessive damage to the facilities, we reserve the right to insist you to leave without warning and no refund will be due.

Personal belongings

Hay Glamping accepts no responsibility for the loss or damage of personal belongings brought onto site. Please leave valuables at home or lock them in your vehicle.
